New software lets kitchen extract cleaning firms send TR19 Grease reports and certificates from the engineer’s phone

Bristol-based Smart Solutions has launched SMART – TR19 Grease reporting, software built for UK firms that clean kitchen extract systems to TR19 Grease, BESA’s specification for grease extract ductwork.

On site, the engineer records grease deposit readings and before-and-after photographs on their phone. Back at the office, the job is reviewed and the client receives a locked post-clean report and a certificate in the cleaning firm’s own branding, with a draft invoice raised in Xero from the same job. The next clean date is worked out from each system’s cleaning frequency and appears on a planner, so no kitchen slips past its due date.

One of the first firms on the software, a two-person kitchen extract cleaning business in West Yorkshire, had been spending 10 to 15 minutes on admin for every job, and shrinking 48MB reports by hand before they could be emailed to clients.

Each firm gets its own private database, never shared with another firm. Firms moving from Flow Mobile can bring their existing client and site records across.
